Technical Assistant (Design Management)

Job Introduction

Reporting to the SCS Area Deliverables Coordinator, you will be responsible for the flow of design information between our designers (the Design House), SCS and HS2.

Role Responsibility

  • Receive incoming transmittals via e-mails from Assetwise
  • Record those transmittals in an Excel register
  • Request confirmation of actions required on the transmitted items from the Design Managers
  • Review the transmittals register and follow-up unactioned transmittals
  • Assign documents and drawings for review on our online review software (EMT), according to pre-defined review lists in Excel
  • Follow-up on documents and drawings when the review time has elapsed: confirm that the reviewers have completed their reviews and chase them up if they have not (via e-mail or Teams calls / messages)
  • Assign statuses to documents and drawings in EMT based on advice from the Design Managers
  • Receive Requests for Information (RFIs) from the SCS and DH teams, via CEMAR TQs and e-mails
  • Register the RFIs on an Excel tracker
  • Process the review and acceptance of RFIs by the Design Managers (via e-mail)
  • Issue RFIs on CEMAR and HS2’s eB systems
  • Follow-up overdue actions from various team members for RFI responses and closure

The Ideal Candidate

  • Have previous document control experience from within the construction industry – ideally experience with EMT & eB Hs2 system but not essential
  • Intermediate to advanced level of Microsoft Office, ability to use large and complex Microsoft Excel spreadsheets, including filters, formulae and conditional formatting
  • Good organisational skills to keep track of multiple actions and ability to prioritise the most important
  • Have excellent written and communication skills.
  • Confidence to e-mail and call various team members and those outside the team to follow up on actions required from them
  • Ability to work under own initiative as well as part of a team when necessary

About the Company

The role will work on the HS2 project. HS2 is the UK’s new high speed rail network. It will be a catalyst for economic growth across Britain, freeing up space on the existing railways and connecting 8 out of the UK’s 10 biggest cities with fast, reliable and frequent high speed services

The Skanska | Costain | STRABAG (SCS JV) is delivering the HS2 Main Civils Contracts which include both Lots S1 (Euston Tunnels & Approaches) and S2 (Northolt Tunnels). Scope of works includes twin-bored tunnels (TBM), SCL tunnels, shaft sinking, bridge demolition and reconstruction, services diversions, earthworks and the construction of site compounds.
