Job Introduction

The requirement is for a Scheduling Assistant to join the integrated HS2/SCS Noise Insulation (NI) team which forms part of SCS in area south. The Scheduling Assistant will report to the Noise Insulation Scheduling Manager and manage several subcontractor accounts, taking responsibility for engaging with residents (customers) to book access, scheduling works with subcontractors, managing the day-to-day programme and contingency schedule, handling complaints and feedback with sensitivity and care and feeding back progress statistics to the wider Noise Insulation Team.

In the Euston area there are around 1,400 properties that qualify for the installation of noise insulation mitigation measures (secondary glazing and mechanical ventilation), and each of those 1,400 properties are effectively individual construction sites with their own unique client (the resident).

Role Responsibility

The Scheduling Assistant will work alongside the SCS Project Controls engineer and liaise regularly with the Quantity Surveyor, engineers and the community engagement managers. These are peer-to-peer relationships.

The Noise insulation programme is critical to enabling the delivery of main works. This role will take on one of the subcontractors schedule of works and the successful candidate will be responsible for managing every aspect of their work up until the point they arrive at a property to install. The Scheduling Assistant will then take responsibility once again, once the installation is complete and handover information needs to be gathered from the subcontractor, checked, and filed.

The role will involve activities such as:

  • Scheduling installations and repairs for the subcontractor and working closely with the site team to ensure the works are carried out as planned.
  • Working with the SCS Information Coordinator to feed the progress data back into the project’s tracking system.
  • Working with the SCS engineers to ensure handover and assurance information is compiled and fit for purpose.
  • Liaising with the portfolio of residents served by your ‘account’ to make sure they are informed, comfortable and aware of survey and installation dates.
  • Dealing sensitively and skilfully with feedback, complaints and quality issues (such as snags).
  • Reporting as required to senior team members within SCS and sometimes HS2.

With these challenges in mind, the successful candidate will need to have administration, stakeholder management and commercial skills - though not necessarily to a particularly senior level. Just as important is emotional intelligence, resilience and the ability to be open-minded and creative.

The Skanska | Costain | STRABAG (SCS JV) is delivering the HS2 London Tunnels Contract. Scope of works includes twin-bored tunnels (TBM), SCL tunnels, shaft sinking, bridge demolition and reconstruction, services diversions, earthworks and the construction of site compounds.
